What are the Monthly Quote Statements & Why should I send them?

Monthly Quote Statements are an easy way to remind your customers about any outstanding quotes they have. Instead of manually chasing up each quote you send out, you can rely on bboss to automatically do it for you every month.

Actively following up on quotes can lead to higher conversion rates. When businesses take the initiative to reach out and discuss potential concerns or modifications with the client, it demonstrates commitment and customer service, often leading to more finalized sales.

Sometimes, quotes are not converted simply because they are forgotten or overlooked by busy clients. By chasing these quotes, you remind the client of their interest in your product or service, potentially reviving opportunities that might otherwise be missed.

The statements list all quotes that haven't been won or lost in the last 3 months, including the nett value and a reference number (making it easier for the customer to call you up and progress with the quote).

The 3 months setting can be adjusted to suit your preference. See below.

Who Receives a Monthly Quote Statement & When are they sent?

The monthly statements are sent on the last working day of the month at 10 am.

Around Christmas time, the statements are not sent any later than the 20th of December.

In order for your customer to be eligible to receive a statement, a few criteria must be met :

  • Received a quote in the last 3 months.

  • NOT marked as stop chasing in customer tracking

  • have NOT clicked the unsubscribe link at the bottom of one of the statements.

  • has NOT been manually unsubscribed from in bboss.

Navigate to the location shown above.

How do I turn off the Monthly Quote Statements?

From the Monthly Quote Statements dashboard. Look for these settings. And click the "No one" button.

How do I turn on the Monthly Quote Statements?

From the Monthly Quote Statements dashboard. Look for these settings. And click the "Contacts & Groups" button.

How can I change the email address they are sent from?

Navigate to the settings page shown above.

Look for this setting. When you click you will be presented with a list of email accounts that you have set up in bboss. See the Email Accounts article for help setting up more.

From this page you can also change :

The name that is signed against the email (so that it looks like it was sent by a human).

Which signature is included on the email.

How many months since the person last received a quote so that they receive a statement.

How can I see a preview of what gets sent?

Navigate to the settings page above, here in the right hand pane you can see a generic example of what the email would look like.

If you would like to see an example email sent to a specific customer, you can navigate to the below.

Select a contact from the list and click

And choose "Send me an example".

You will then receive an email in your inbox.

How can I see what email my customer received?

Navigate to here and you can see a full list of all monthly statements that have been sent to your customers.

You can search by their name or email address to quickly track a statement they have recevied.

Select a row click to see a copy of what they recevied.
