Auto Despatch

Despatch your Drop Ship orders quickly and easily.

Updated over a year ago

How does Auto Despatch work?

Orders that have been identified as being Drop Ship can be despatched without any input by you according to the settings you have defined. You can choose the time of day and whether or not to send a despatch note and the generated Invoice.

What makes an Order eligible?

There are a few conditions an Order has to meet to be eligible for Auto Despatch

  • It must be a Drop Ship order, either manually or automatically identified.

  • It must have a Despatch Date.

  • The status of the Order must be either 'Processing' or 'Partially Despatched'.

  • If you are identifying Drop Ship Orders automatically then the connected Purchase Order must have been accepted.

What happens?

On the Despatch Date set against the order we will attempt to Despatch the Order at the time set by you. If someone is in the Order at the time then we will try again when it is unlocked and a note is added to notify you of the attempt, and we will also not try to send any that have recently been updated. If you have decided to send an Invoice and/or Despatch note then these will be sent to the Customer.

Managing Auto Despatches

Setting Up

To set your preferences for Auto Despatch you will need to navigate to:

Sales -> Despatch -> Drop Ship -> Maintenance

Here you will be able to define your preferences for Auto Despatch. A list of all Drop Ship Orders that are yet to be despatched is also available for management.

Order Level Management

It is possible to disable Auto Despatch on an Order by Order basis. This involves navigating to the Order, selecting a delivery (i.e. D01, D02 etc) and clicking the Drop Ship Settings button. Here you can opt to disable Auto Despatch for this Order.
