Are you locked out of a document? Read this article to help get unstuck.

Why Does Bboss Lock Documents?

In order to prevent multiple people working on a document at the same time, bboss locks documents to only 1 user.

This prevents duplicate data (for example, duplicate products) from being added to a document, and also prevents Sales Orders from being despatched while someone is still making changes.

Bboss also prevents you from having the same document open twice on your own computer to stop similar issues from occurring.

How does a document become Locked?

When someone opens a Document in bboss, it becomes locked.

The document will remain locked until :

  • The user closes the document.

  • The user closes the browser tab with the document open.

  • The user closes the whole web browser (e.g. Google Chrome, Safari, Firefox)

Bboss frequently talks to your computer to check if the order is still open.

Someone has closed the document, why is it still locked?

If you've opened a document after someone else has closed it but still get this pop-up message, don't fret, there is sometimes a small delay before bboss recognises the document has been closed. This delay shouldn't be any longer than 60 seconds.

While you wait, you can click "Okay" to open the document in read-only mode. You won't be able to change anything.

Once the document is unlocked, you will get this pop-up. You can click "No" to stay in read-only mode. Or press "Yes" to unlock the document.

It says I'm in the document, why is it locked?

If you just opened a document and get this pop-up, it means that the document is open in another tab or browser window on your computer.

Bboss will treat this as locked so that you don't accidentally make duplicate changes to the same document.

If you want to make changes to the document, you need to track down the other tab that has the document open. Either save your changes and close it or continue working on this order from this tab.

I've closed the tab, but it still says I'm in the document

If you've encountered this frustrating scenario, follow these steps to get back on track.

  • Check any other tabs you have open in your browser. Look for any that have a document open and check the document number is not the one you are trying to access.

  • Check if you have any other browser windows open. Sometimes, a second browser window is open in the background. This window could have your document open on it.

  • If you are still struggling to locate the tab, the next step will be to close your browser entirely. If you are using Google Chrome, for example, right-click on the Chrome icon in your taskbar (at the bottom of your screen) and click "close all windows".

  • If you have 2 or more monitors connected to your computer, check there are no web browsers such as Chrome open on either of them. (close them in the same manner as the previous step)

  • At this point (assuming you have managed to find and close all open web browsers) you can now open back your web browser and try to open the order.

  • If it is still locked, this means you have missed an open browser window. Try restarting your computer.

Some other things to look out for

  • Be careful when restarting your web browser that it does not just reopen all of your tabs.

  • On Windows and Mac its possible to have multiple desktops open, making it a lot harder to track down the tab responsible for locking your document.

  • Remember there might be a slight delay after you close a tab before the document unlocks.

Manually Unlocking Documents

Users with admin privileges have the power to manually unlock a document and remove the user currently in it.

This can be done via the 'Quick Tools' menu at the top of your screen

and then accessing the 'Admin Tools'

Here you'll be able to access a list of all currently locked documents, and have the option to remove the user currently accessing it.

NOTE: If a user is removed from a document and has unsaved changes, these changes will be lost and are not recoverable.
